Please read this Privacy Policy carefully. By accessing or using the Platform, you acknowledge that you have read, understood, and agree to be bound by all the terms of this Privacy Policy.

We collect information that you provide directly to us, information collected automatically, and information from third-party sources. This includes:

• Account Information: First name, last name, and email address when you register.
• Authentication Information: Secure authentication tokens handled by our identity provider (Clerk). We do not store your passwords.
• Candidate Information: Resumes (PDFs, DOCX), CVs, candidate names, contact details, employment history, and education uploaded to your Hiring Boards.
• Job Descriptions: Details about the roles you are hiring for, which are used to generate Match Scores.
• Recruiter Notes & Interactions: Custom notes, chat history with the Recruiter Copilot, and feedback provided on candidates.
• Usage Analytics & Device Information: Internet protocol (IP) addresses, browser type, operating system, and platform usage metrics to improve our services.
• Payment Information: Billing details and subscription status. All secure payment processing is handled by our payment provider (Dodo Payments); we do not store raw credit card numbers.

We use the collected information for the following purposes:

• To Provide the Service: To parse resumes, calculate Match Scores, generate candidate summaries, and provide AI-generated interview questions.
• To Manage Accounts: To authenticate users, maintain Hiring Boards, and process subscription billing.
• To Improve the Platform: To analyze usage trends, fix bugs, and enhance user experience.
• To Enhance Services: Data submitted to Recruitarian may be used to improve, develop, train, evaluate, and enhance our services, including current and future platform features, while remaining subject to this Privacy Policy and applicable laws.
• To Communicate: To send administrative information, product updates, and customer support responses.

AI Processing: Your Candidate Information and Job Descriptions are securely processed by our Large Language Model partners (such as OpenAI) to generate analytical outputs. These third-party APIs are configured to strictly prevent your data from being used to train their global models.

We do not sell your personal data. We may share your information only in the following situations:

• Service Providers: We share data with trusted third-party vendors who assist in operating our Platform, including database hosting (Supabase), authentication (Clerk), payment processing (Dodo Payments), and AI processing (OpenAI).
• Legal Obligations: When reasonably necessary to comply with applicable law, regulation, legal process, or governmental request.
• Business Transfers: In connection with a merger, sale of company assets, financing, or acquisition of all or a portion of our business.

Your data is securely stored using industry-standard database infrastructure (Supabase) with encryption at rest and in transit. We retain your personal data and uploaded Candidate Information only for as long as your account is active or as needed to provide you with the services.

When you delete a Hiring Board or a specific candidate, the associated resumes and AI analysis results are permanently purged from our active databases.

We have implemented appropriate technical and organizational security measures designed to protect the security of any personal information we process. This includes HTTPS/TLS encryption for all data in transit and AES-256 encryption for data at rest.

However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure.

Depending on your location (such as under the GDPR or CCPA), you may have the following rights regarding your personal data:

• Access & Portability: You can request a copy of the personal data we hold about you.
• Correction: You can request correction of inaccurate data.
• Deletion: You can request the deletion of your account and associated data.
• Restriction: You can request that we restrict the processing of your data.
